Position Summary

TMF is seeking an enthusiastic and detail-oriented Special Events Coordinator to support our Special Events team. This role is integral to the growth and success of all Travis Manion Foundation (TMF) events, fostering relationships with donors, sponsors, volunteers, and vendors. Key responsibilities include collecting sponsor information for event materials, coordinating logistics, and assisting with inventory management.

The Special Events Coordinator will attend all TMF-hosted events and the majority of Independent Fundraising Events in the local area, which may include weekends and evenings. During peak workloads, the coordinator may also provide administrative support for TMF Athletic Events.

The ideal candidate will have a passion for event planning, strong organizational skills, and the ability to thrive in a fast-paced, collaborative environment. Success in this position requires exceptional multitasking abilities to manage multiple projects simultaneously and a proactive problem-solving approach.

This position is based out of TMF’s headquarters office in Doylestown, PA. This is not a remote position.

Duties and Responsibilities

Responsibilities include but are not limited to the following:

Event Support

  • Draft and prepare professional emails, letters, and marketing materials for event attendees, sponsors, and partners.
  • Assist with overall event coordination, including timelines, project management, setup, and breakdown.
  • Contribute to the creation and management of event registration and fundraising pages.
  • Provide updates for the TMF events calendar on the website.
  • Support the execution of in-person event logistics, including registration management, participant support, and merchandise sales at TMF events.
  • Provide administrative and operational support for TMF Athletic Events during peak planning periods.

Innovation & Fundraising

  • Collaborate with the Events team to develop new fundraising and engagement opportunities.
  • Assist with participant engagement and stewardship efforts before and after events.
  • Support post-event follow-up including drafting donor thank you messages, coordinating thank you gifts, and tracking event outcomes.

Merchandise & Inventory Management

  • Assist with receiving, organizing, and managing TMF merchandise inventory for the online giveaway storefront and event giveaways.
  • Maintain and organize the special events storage unit and ensure inventory levels are accurate and accessible.
  • Provide support for TMF merchandise photoshoots and product updates for the online store.
  • Assist with preparing merchandise shipments and event supply kits.

Data & Systems

  • Utilize and maintain data within platforms such as Salesforce, Classy, Shopify, AirTable, Dropbox, and Google Drive.
  • Assist with tracking event participation, fundraising results, and inventory records.
  • Maintain organized documentation for event processes, vendor information, and post-event reports.

Miscellaneous

  • Represent Travis Manion Foundation professionally at events and partner engagements.
  • Travel and attend events approximately 25% of the time, including occasional evenings and weekends.
  • Must be able to lift up to 25 pounds.
  • Perform other duties as assigned in support of the Events team and organizational mission.

Qualifications

  • Bachelor’s Degree (or previous military service) is highly preferred but not required; minimum of 1 years’ work experience in customer service, hospitality, or a related field.
  • Highly competent with Microsoft Office Suite and G-Suite, familiar with Salesforce (or similar databases) and systems for managing program related data.
  • Self-starter with excellent organizational and customer service skills; must be self-reliant and initiative-driven, while still being an effective and collaborative team member. 
  • Excellent and persuasive communicator with exceptional written, oral, and presentation skills. 
  • Remains focused and efficient in the face of pressure, delivers results with timelines; not intimidated by complex tasks, challenging timelines, or a fast-paced work environment.
  • Energetic, flexible, and proactive with dedication to the mission of Travis Manion Foundation and a passion for service and community development.
  • Flexibility to accommodate occasional evening and weekend events.
  • Must have their own car in working condition and a valid driver’s license. Proof of automobile insurance is required. TMF does reimburse for mileage when a personal vehicle is used for business travel.
  • Military service and/or connected to the U.S. military is a plus, but not required.

Compensation

The pay for this position is $50k and is based on the candidate’s work experience, skills, and abilities. TMF offers a benefits package, which includes medical and dental, short-term disability, long-term disability, life and participation in our 401(k) program, to name a few. In addition, we have an attractive PTO policy along with holidays and paid parental leave.
