Position Summary
The Administration Coordinator plays a critical role in supporting the administrative needs of all departments at TMF. This position, under the guidance of the Director of Administration, is responsible for fulfilling the administrative needs of the TMF Headquarters office and all other departments, as well as certain long-term projects when assigned to do so. The ideal candidate is a team player who can adapt and multi-task in a fast-paced work environment.
This position is based out of TMF’s headquarters office in Doylestown, PA. This is not a remote job. You will be expected to be in the office Monday to Friday from 8:30am-5pm.

Duties and Responsibilities
Responsibilities include but are not limited to the following:
- Responsible for daily operations at the TMF Headquarters office, which include answering phones, office maintenance and organization, mail distribution, restocking supplies, and supply ordering.
- Shipping and receiving various items, including drop off to third party shipping vendors as needed.
- Responsible for office maintenance with the building contractor.
- Responsible for placing and picking up orders for staff meetings, trainings, and lunches as needed.
- Record, track, and manage phone call tracking from external or community callers to ensure response from appropriate TMF departments.
- Update information in various databases and systems (i.e. Salesforce, Dropbox, Classy, AirTable).
- Participation in weekly collaboration meetings with the Administration Director and quarterly meetings with the Administration team.
- Maintain and build relationships with all TMF departments to support their work through administrative support, which may include but not limited to, compiling and input of data and maintenance of task trackers.
- Support the Development department’s administrative needs, which include printing and mailing thank you letters for campaigns, researching returned mail, shipping holiday ornaments, and updating data in Salesforce.
- Support the Programs department initiatives and campaigns with maintaining task trackers, inventory availability, and the shipment of items needed to support their events.
- Support the Events department by preparing materials and apparel for local events and building web pages for athletic events.
- Support the Finance team when additional coverage and support is needed.
- Light lifting is required in this role.
- Other administrative duties as assigned.
Qualifications
- Bachelor’s Degree (or previous military service) is preferred but not required; previous administrative experience is a plus.
- Highly competent with Microsoft Office Suite and G-Suite, familiar with Salesforce (or similar databases) and systems for managing related data.
- Self-starter with excellent organizational and customer service skills; must be self-reliant and initiative-driven, while still being an effective and collaborative team member.
- Excellent and persuasive communicator with exceptional written and oral skills.
- Remains focused and efficient in the face of pressure, delivers results with timelines; not intimidated by complex tasks, challenging timelines, or a fast-paced work environment.
- Energetic, flexible, and proactive with dedication to the mission of Travis Manion Foundation and a passion for service and community development.
- Must have their own car in working condition and a valid driver’s license. Proof of automobile insurance is required. TMF does reimburse for mileage when a personal vehicle is used for business travel.
- Military service and/or connected to the U.S. military is a plus but not required.

The pay for this position is $50k and is based on the candidate’s work experience, skills, and abilities. TMF offers a benefits package, which includes medical and dental, short-term disability, long-term disability, life and participation in our 401(k) program, to name a few. In addition, we have an attractive PTO policy along with holidays and paid parental leave.
